Clubhouse Rules

Clubhouse

The Greenhills clubhouse is available for the use and enjoyment of all Homeowners Association Members in good standing*

Rates
  • Clubhouse Rental: - per day – other times must be approved by the Board.  Up to six hours   - $25.00;   Over six hours -    $50.00

  • The above rental hours include time for set-up.  Access to the facility will not be permitted before the scheduled contract day/ time

Notes
  • A clubhouse reservation does not include reserved use of the pool

  • The homeowner is responsible for the conduct of his/her guests.

  • The homeowner agrees that, if alcoholic beverages are served during the function, then alcoholic beverages shall (1) not be sold (2) not be served or allowed to be provided to minors, and (3) shall be provided or served to adults in a responsible manner.

Restrictions
  • No for-profit business activities or events are permitted if the intent of the rental is for solicitation, promotion, and/or sales of any kind.

  • A Greenhill’s HOA member representing a non-profit organization seeking to rent the Clubhouse will be considered with approval of the Board.

  • Charcoal, gas, or electric grills are not allowed on the clubhouse deck or inside the clubhouse.  Items may be used on cement or ground area, at least 25’ from the clubhouse.

  • Please adhere to the maximum occupancy of 75 guests in the clubhouse.

  • No smoking allowed inside the gated area of the Greenhill’s clubhouse or pool.  Guests may smoke outside the gated area with the renter supplying an appropriate receptacle for cigarette butts.

  • The affixing of anything to the walls, floors, or ceiling using nails, staples, tacks, tape, or other substances is prohibited.

  • At no time may the homeowner or delegated tenant renting the clubhouse leave the premises during the event.

  • Structures, including inflatables, may not be erected on the premises.

  • No animals are permitted inside the gated area.

  • The Clubhouse cannot be reserved on Memorial Day, 4th of July, or Labor Day.​

 
For Renters

Guidelines for HOA members who rent their homes in Greenhill’s – If the owner gives the renter the right to use the clubhouse the following will apply:

  • The homeowner pays the $200.00 deposit prior to the use of the clubhouse by the renter.   The deposit will be refunded if there are no damages.   If damage occurs and the amount exceeds $200.00 the owner is responsible for the total amount.

  • The renter is responsible for paying the appropriate fee for use of the clubhouse.

Rental for Family Members

Greenhills HOA families have the opportunity to rent the Clubhouse and pool for their immediate family members for birthday parties, etc.  The following applies:

  • Must be for a family member's celebration event.

  • Agree to the rental times Monday thru Friday from 10:00 a.m. - 8:00 p.m. (not to exceed 6 hrs)

  • Pay rental fee of $75.00 and deposit of $200.00

  • Agree not to exceed 15 guests

  • A clubhouse rental form must be completed and turned in a week prior to the event.

  • Greenhills HOA members will still have pool privileges during this event.

Clubhouse Renter Responsibilities

The renter is responsible for any damage to the clubhouse property or contents during the term of their rental.

  • Wipe down all tables.

  • Clean kitchen area:  wipe counter and sink, empty refrigerator, and freezer.  

  • Tidy bathrooms (towel wipe counters and sinks).  Check toilets are flushed and not running.

  • Vacuum carpet.

  • Return all furniture to original settings.

  • Mop tile floor in the kitchen area and entryway.

  • Remove all trash (bathrooms included) and take all trash with you.  Replace with clean trash bags.

  • Turn off the lights.

  • Clean-up of any outside area used; trash picked up, personal items removed, pool chairs/tables back to appropriate places.

  • Check that all doors are closed and locked.

  • Notify clubhouse manager of any problems occurring during the rental.

Definitions
  • Owner:  Shall mean and refer to the record owner, whether one or more persons or entities.

  • Member:  Shall mean and refer to every person or entity entitled to membership in the Association as provided in the Declaration.

  • Owner in Good Standing:  is an owner in the Greenhill’s Homeowners Association (HOA) whose assessments and fines are paid in full and whose membership privileges (including the use of the clubhouse, pool, tennis court and the right to bring guests to those facilities) have not been revoked.

  • Guest:  is a non-member who is allowed access to Greenhill’s facilities when accompanied by a member.
